Managing Contacts

In addition to the guest email addresses automatically collected by Toast, you can use the Manage Your Contacts page to upload email addresses to the Toast marketing database. You can access the Manage Your Contacts page by selecting Manage Contacts from the Toast Marketing dashboard, the Toast Marketing settings page, or from the campaign creation page.

Important

  • You cannot upload lists containing more than 10,000 rows of guest information at a time. Split lists containing more than 10,000 rows into multiple files.

  • If you previously sent marketing emails to your guests using a marketing tool other than Toast marketing, you must upload the email addresses of any guests who unsubscribed from your mailing list by using the unsubscribe function of the import tool. This ensures that you do not send email to guests who may remain subscribed to transactional emails sent by Toast.

To upload a list of email addresses

  1. Access the Toast administration back-end and then select Marketing > Email Marketing.

  2. On the Toast Marketing dashboard page, scroll down to the Contacts section and select Manage Contacts.

  3. On the Manage Your Contacts page, in the Import Your Contacts section, select one of the following options based on the type of action you want to complete:

    • If you want to upload email addresses of guests who have subscribed to your mailing list:

      1. In the Email subscribers section, select + Upload email subscribers.

      2. In the dialog box, review Toast marketing's terms and conditions and select I certify.

    • If you want to upload email addresses of guests who have unsubscribed from your mailing list, select + Upload unsubscribed contacts.

  4. In the Bulk add Subscriptions screen, upload your contacts using one of these methods:

    • Uploading data from a file

      1. Select Upload data from file.

      2. Select a .csv or .tsv file from your computer that contains guests' email addresses.

        Note

        This file should only contain guest email addresses. If your file contains additional guest information like names or birthdays the Toast marketing database will not retain that data after the upload is complete.

      3. Select Yes or No to indicate if the first row in your imported file contains a column name.

      4. In the Match columns screen, make sure the column matches the Email field and select Confirm mapping.

      5. Select Review.

      6. In the Repair problems screen, review the rows to be imported. Cells that have invalid data are highlighted in red. To correct invalid data, select the cell and enter valid information. Then, select Complete.

      7. In the Are you ready to submit? dialog, select Yes.

    • Manual data entry

      1. In the table, enter one guest's email address per row. You may also enter their first and last names, but this data will not be stored in the Toast Marketing database.

      2. Select Continue.

      3. In the Repair problems screen, review the rows to be imported. Cells that have invalid data are highlighted in red. To correct invalid data, select the cell and enter valid information. Then, select Complete.

      4. In the Are you ready to submit? dialog, select Yes.

  5. In the confirmation dialog, select Create Campaign to start building an email campaign or select Stay on this page to return to the Manage Your Contacts page.

You can check the status of your upload in the Upload History section of the Manage Your Contacts page. The table lists the following details for all past uploads:

  • Upload Date: The date on which you imported the contact list.

  • File Name: The name of the .csv or .tsv file that you imported. If you manually entered guest information, the field displays Manual Upload.

  • Import Type: The type of list you uploaded. Valid values for this field are Subscribe and Unsubscribe.

  • Total Contacts: The total number of contacts that were subscribed to or unsubscribed from the database through the upload.

  • Status: The status of the upload. Valid values for this field are In Progress and Completed.

To export a list of email addresses

  1. Access the Toast administration back-end and then select Marketing > Email Marketing.

  2. On the Toast Marketing dashboard page, scroll down to the Contacts section and select Manage Contacts.

  3. On the Manage Your Contacts page, in the Export Your Contacts section, select Export Contacts.

  4. In the dialog box, review the email address where the list of contacts will be sent and select Send. This is the email address associated with your Toast POS account.

You will receive an email from Toast Marketing containing a .zip attachment. The contacts.zip folder contains the subscribed.csv and unsubscribed.csv files.
