Sources of Guest Information

The guest email addresses in your restaurant location's marketing audience are collected through the sources listed below. The list of guest email addresses that you send automated campaign emails to on behalf of your management group is an aggregate of guest email lists from the restaurant locations that are part of your group.

Unless specified otherwise, a source is available to restaurants that use the Toast POS system as well as to restaurants that use Toast marketing as part of the Toast Now™ product suite.

Each restaurant location's marketing audience is built using:

  • Imported subscriber lists: You can upload lists of subscribers who have signed up to receive marketing emails from your restaurant location. See Managing Contacts for more information on uploading lists.

  • Toast loyalty program sign ups: If the Toast loyalty program is active at your restaurant location, a guest's email address is collected when they sign up for the program or when they provide their email address as additional information on their loyalty account web page. If you are using Toast marketing as part of the Toast Now product suite, this source of information is not available to your restaurant.

  • Digital receipts: Guest's email address is collected when they request a digital receipt for their order by entering their email address on a Toast POS device. If you are using Toast marketing as part of the Toast Now product suite, this source is available to your restaurant only if you are also using Toast online ordering.

  • Toast gift card purchases: If your restaurant location offers Toast gift cards, a guest's email address is collected when they purchase a gift card on your restaurant's web page or at your restaurant location. Guest's email address can also be collected when they buy an e-gift card on a Toast POS device if they choose to provide their email address on the optional Purchaser Information screen.

    If you are using Toast marketing as part of the Toast Now product suite, this source is available to your restaurant only if you are also using Toast e-gift cards. Also, the email address of a guest who is purchasing the e-gift card is added to your marketing audience only if the guest provides their email address for the receipt. The guest's email will not be captured if they choose to send the receipt to their phone number. The e-gift card recipient's email address is not added to your marketing audience.

  • Unique Toast marketing sign up web page: Your restaurant location has a unique web page where guests can sign up using their email address to receive marketing emails from your management group. If you choose to offer this sign up method, feature this link prominently on your restaurant location's website and social media spaces.

    To access the unique sign up link

    1. Access the Toast administration back-end and then select Marketing > Email Marketing.

    2. On the top right corner of the page, select Settings.

    3. In the Toast marketing settings page, locate the unique sign up link in the Audience > Increase your audience section.

  • Online ordering: If your restaurant location offers Toast online ordering, a guest's email address is collected when they sign up for an online ordering account or when they provide their email address to receive the order receipt. If you are using Toast marketing as part of the Toast Now product suite, this source is available to your restaurant only if you are also using Toast online ordering.
