The following notes provide information about new and improved functionality.

Support for Editing Employee and Job Fields in Toast Payroll

If you are live with Toast Payroll, this release gives you the option of making certain employee and job changes in Toast Payroll or on the Labor > Employees and Labor > Jobs pages. The Toast Payroll-related fields are locked and cannot be changed until you determine how to edit them. You make this decision by answering this redirect prompt:

Depending on your response to the redirect prompt:

  • If you select the Go to Payroll option, you are redirected to Toast Payroll, where you make your changes. It is highly recommended that you select this option because the changes are made both in Toast Payroll and on the Labor page.

  • If you select the Just update here option, you remain on the Labor page and the fields are unlocked so that you can edit them. After you make your changes, you should also go to Toast Payroll and make the same changes there (assuming that the user exists in Toast Payroll).

The following list shows which are the locked fields in the Labor pages.

Labor > Employees page:

  • On the Active Employees tab, the redirect prompt is shown when you use the Add User, Archive, or Unarchive buttons.

  • The Invited Employees tab does not support editing in Toast Payroll.

Labor > Employee details page:

  • On the Basic tab, the Email, First Name, Last Name, Phone Number, and Employee ID fields are locked. Click the Edit button to bring up the redirect prompt to edit these fields. The other fields on the page are not locked and must be changed on this page.

  • On the Jobs and Permissions tab, the Jobs table is locked and can be edited by clicking the Edit button and answering the redirect prompt. The Access Permissions table is not locked and must be changed on this page.

  • The Restaurant Access tab does not support editing.

Labor > Jobs > Job details page:

  • The Job Title, Job Code, Pay Basic, and Default Pay fields are locked. Click the Edit button to bring up the redirect prompt to edit these fields.

  • The other fields on this page (including the Default User Permissions table) are not locked and must be changed on this page.

Restaurant Employees Can Enable and Disable Gift Card Providers

Restaurant employees who have the POS Setup and Manage Integrations permissions can now enable and disable gift card provider functionality on the Payments > Gift Card Setup screen. Previously, only Toast support team members could enable and disable gift card providers. Employees who have the POS Setup permission but do not have the Manage Integrations permission can open the Payments > Gift Card Setup screen but cannot see the configuration control to enable and disable gift card providers. Employees who do not have the POS Setup permission cannot open the Payments > Gift Card Setup screen even if they do have the Manage Integrations permission.

Time Entry Controls on POS Devices Now Ensure Dates and Times Are Not in the Future

On the Add Time Entries screen for restaurant managers, the In Date and Out Date controls for time entries now validate dates and times to ensure that they are not in the future.

Improved Permissions Tooltips on the Employee and Job Details Pages

Improved tooltips have been provided for a number of the permissions on the employee details and job details pages.

Numbering Added to the Permissions on the Employee and Job Details Pages

To make them easier to locate, the permissions on the employee details and job details pages have all been numbered.

Updated Text on Create User Screen

This release provides text to clarify the difference between Password, Passcode, and Employee ID, found on the Labor > Employees > Create User screen. The Password is used to log into the Toast Administration back-end, the Passcode is used to enter the Toast POS app on the passcode screen, and the Employee ID is used for external systems, such as payroll. Without the added text, the distinction between these fields was less clear.

Permissions Quick Guide Has Been Rewritten and Added to Jobs Pages

The Permissions Quick Guide has been rewritten to provide better assistance. This guide appears above the permissions list on the Jobs and Permissions tab when you are editing an employee or creating a new employee. The guide has also been added to the pages used to create a new job or edit an existing job.

POS Setup Permission No Longer Required to View GL Accounts Page

Previously, you needed both the POS Setup and the Financial Accounts permissions in order to view the Other Setup > GL Accounts page in the Toast administration back-end. This release removes the need for the POS Setup permission. To access this page, an employee only requires the Financial Accounts permission.

POS Setup Permission No Longer Required to See the Payments > Customer Credits Link

Previously, you needed both the POS Setup and the Customer Credits & Reports permissions in order to see the Payments > Customer Credits link on the Toast administration back-end home page. This release removes the need for the POS Setup permission. Employees with the Customer Credits & Reports permission will see the the Payments > Customer Credits link.

Shift Review Permission No Longer Required to Export Labor Reports

Previously, you had to have both the Labor Reports permission and the Shift Review permission for the Payroll Export and Email Export actions on the Labor Summary page. The Shift Review permission is no longer required. To export labor reports, an employee only requires the Labor Reports permission.

The following notes provide information about fixed problems.

Tips, Totals, and Tip Percentage Calculations Updated Correctly

The Tips, Totals, and Tip Percentage rows in the Total Cash Payments and Total Payments sections of the shift review screen are now updated correctly when restaurant employees declare tips. Previously those values were only updated after an employee closed the shift.

Inherited Permissions Properly Display for Toast Payroll Customers

An issue existed for customers who use Toast Payroll where the Jobs and Permissions tab of an employee’s details page was not properly displaying inherited permissions when an employee had permissions to multiple locations, even though those permissions were correctly recorded as inherited in the Toast POS system’s database. This issue has been resolved and inherited permissions are now shown properly.

Editing Jobs for Large Management Groups Has Been Fixed

This release fixes an issue that caused an error to occur when editing a job for a management group with many restaurant locations.

Passcode Sign In Behavior When Swipe Card Registered and Passcode Disabled is Corrected

A problem that caused unpredictable and unclear sign in behavior for restaurant employees has been fixed. The problem affected employees who:

  • Registered a swipe card for sign in.

  • Disabled their passcodes for sign in

  • Attempted to sign in, or grant manager approval, with the disabled passcodes.

Now attempting to sign in with a disabled passcode when a swipe card is registered will fail correctly. Employees who use swipe card sign in and have disabled passcodes can only sign in by using their swipe cards.
